As a student employment coordinator, you will facilitate students' onboarding and I-9 process completion, meticulously setup and track new positions in JobX and Guardian, and oversee the management of online student employment vacancies. You will act as a department liaison to assist with employment questions and concerns and troubleshoot all student employment timekeeping and payroll discrepancies in the web entry system. Likewise, you will implement file organization and management best practices for materials related to student employment, adhering to federal guidelines and university policies. You will also process and administer all necessary, accurate application forms for position approvals.

In this position, you will regularly review student employment policies and procedures to recommend and implement changes. You will lead I-9 group sessions for new employees to clearly explain the university and federal policies of work-study programs. Along with your day-to-day duties, you will ensure prompt, thorough, and accurate communication about employment-related requests, including completing and tracking student employment verifications. You will also oversee off-campus employment opportunities, actively working with off-campus supervisors for community-based positions.

Among other duties, you will lead the approval process for new positions and hires, as well as the termination of employment, verifying that all documentation is complete and accurate. You will notify supervisors about students who no longer meet work-study eligibility requirements, optimize processes for vacancy tracking, manage timesheet access, and update positions to focus on enhancing efficiency and effectiveness. Additionally, you will also assist with organizing annual supervisor training seminars.

The successful candidate is an excellent communicator with strong multi-tasking, problem-solving, and time-management skills. They will have a proven ability to meet deadlines and possess a customer-service-oriented mindset, understanding the importance of student satisfaction and support in this fast-paced environment. A working knowledge of human resource principles, practices, and procedures is necessary. The ability to troubleshoot technical issues and collaborate with on and off-campus supervisors is also needed. Preference will be given to candidates with a human resources background. 

Minimum Qualifications:      

  • Bachelor’s degree
  • Proficiency with Microsoft Excel
  • Experience with payroll systems and timekeeping software
  • Experience in coordinating events (e.g., workshops and training seminars)
  • Familiarity with federal guidelines and university policies related to student employment

Preferred Qualifications:      

  • Previous experience/knowledge of federal work study programs and financial aid  
  • Experience with either Banner, Guardian, or JobX systems

Certificates, licenses, and registrations:  

  • Valid driver’s license

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
