Alumni Affairs and Development (AA&D)
Alumni Affairs and Development is a dedicated team supporting Harvard’s advancement activity through front-line fundraising, alumni and volunteer engagement, technology, prospect management and research, business process, events, communications, and many other areas.

AA&D is comprised of the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, the Harvard Alumni Association (HAA), and the Office of the Vice President (OVP).
This position will coordinate the daily activity of the ADE faculty programs and donor engagement work, providing the team with project management; scheduling of ADE and fundraiser interactions with senior academic leaders; support for faculty programming and travel; and organization of on-campus donor engagement visits.
Position Description
- Schedules the development activities of assigned academic leaders, administrators, and divisional faculty. Coordinates all aspects of development meetings including prospect outreach, scheduling, logistics, travel arrangements, record-keeping in Advance, and coordinating follow-up correspondence.
- Thoroughly reviews all meeting and event briefing materials for assigned academic leaders administrators, and divisional faculty and communicates deadlines with key partners. Participates in regular staff trainings on briefing best practices.
- In partnership with the ADE Assistant/Associate Director and the Director, collaborates with FAS frontline partners to help set priorities for the use of the academic and administrative leaders time by managing the visit pipelines, gathering data from Advance and officers, and regularly sharing updated pipelines as appropriate to keep partners informed. Managing overall and regional pipelines by continuously updating with strategy notes, ratings, senior leaders’ recent visits, and outreach notes.
- Supports ADE’s campus visit activity, including making arrangements for prospects and donors to sit in on classes, meet with faculty and/or academic department staff, and participate in other on-campus experiences.
- Maintains ongoing communication with staff in academic dean and administrators’ offices to prepare and coordinate development activity and serves as their first point of contact for scheduling and logistics questions related to development across FAS.
- Tracks all development activity for assigned academic and administrative leaders for year-end analysis, reporting, and adjusting fundraising strategy.
- Responsible for organizing regular meetings between the FAS Development office and academic administrators/faculty who partner with Development for assigned portfolio of academic and administrative leaders, as well as priority activity; this work includes tracking agenda items across the ADE team and the office, preparing materials, and coordinating attendees. Responsible for attending meetings, taking detailed notes, scheduling and managing the distribution of notes and next steps.
- Supports the Senior Associate Director of Leadership Engagement in management of assigned leadership committees including scheduling, communications, data management, and reviewing briefings and meeting-related materials.
- Cultivates and maintains relationships between ADE and other departments within Alumni Affairs & Development, including frontline fundraising teams, Operations, Alumni & Development Services, Communications, Donor Relations, and the University Development Office. Serves as a liaison between the Development Office and administrative and academic units in the FAS, including the offices of academic deans and leaders across the Faculty of Arts and Sciences.
- Manages portions of the ADE Team’s SOURCE page in collaboration with other ADE coordinators. Responsible for maintaining content and updating information accordingly.
- In the absence of the ADE staff assistant, handles various administrative team duties (e.g. arranging meetings, maintaining files, entering data).
- Attends required AA&D and FAS Development training sessions, meetings, and events.
- The above covers the most significant responsibilities of the position. It does not, however, exclude other duties, which would be in conformity with the level of the position.
Basic Qualifications
- Minimum 2 years working in development or related experience.
- Experience received while in college may contribute to the minimum required work experience for this position, if the role was within the development field.
- Knowledge of Microsoft Office software.

- Strong customer focus, judgement, decision-making and diplomacy.
- Must be highly organized, exceptionally detail oriented and must possess the ability to work competently and efficiently in a multi-task environment. Proactive problem solving, being a self-starter on projects, and anticipating future tasks to get ahead on planning are essential qualities for success.
- Must be focused, motivated to learn, and flexible to change. Demonstrated ability to work under pressure and follow policies and procedures along with a proven ability to work independently as well as collaboratively on a team is important.
- Strong interpersonal skills that include verbal and written communication. Experience interacting and engaging with corporate executives, senior level staff or faculty preferred.

Work Format Details
This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
This position is hybrid and may be subject to change due to any operational adjustments in the department.
